Know what’s in the store before you run out.

Track every item the school stocks, from exam paper to cooking oil. Staff request what they need, leadership approves it, and deliveries go straight into the count.

Why this module

Stock runs out because nobody saw it running low.

The store book shows what came in. It rarely shows what went out, who took it, or what is about to run out.

  1. 1

    Counts that drift

Issues go unrecorded, so the book and the shelf stop agreeing within weeks.

  2. 2

    Requests on scraps of paper

Requests for supplies arrive verbally or on notes, with no record of who approved what.

  3. 3

    Shortages found too late

Exam paper or cooking oil runs out on the day it’s needed, not the week before.

What you can do

From requisition to the shelf, on one record.

Every item, request, order and delivery is tracked, so the count on screen is the count in the store.

Every movement on the record

Stock changes only through recorded movements, so you can see how each count got to where it is.

  • Nothing is typed over.Receipts, issues, returns, wastage and stock-take adjustments each leave a line with who made it.

  • Issue stock to a person.Textbooks, games kits and supplies issued to a student or staff member show on their profile.

  • Stock-takes stay honest.Enter the counted quantity with a note, and the difference is recorded as an adjustment.

Alerts before you run out

Set a reorder level for each item. When stock drops to it, Elimu Bora raises an alert on its own.

  • Checked every morning, and on every movement. An item that drops low is flagged straight away, and the daily check catches the rest.

  • From alert to request in one click.Create a requisition from the alert, pre-filled with the reorder quantity.

  • Urgent when it matters.A requisition for an item that has run out is marked Urgent automatically.

Requests with an approval trail

The kitchen, the nurse, the library and the exams office request stock in one place, and leadership decides.

  • Every request has a reason.Low stock, out of stock, a new requirement or damaged items, with a priority from Low to Urgent.

  • A clear yes or no.Approve or reject with a reason that goes back to the person who asked.

  • Closed when the goods arrive.Receiving a purchase marks matching requests as fulfilled, with no separate step.

Purchases that update the count

Order from your suppliers and mark the delivery received. The quantities go straight into stock.

  • Prices fill in from the catalogue.Pick the products and quantities and the order totals itself.

  • Track what you owe suppliers.Record payments against a purchase and see whether it is unpaid, part paid or paid.

  • Reports for the board.Stock levels, movements, requisitions and low stock, in PDF or Excel.

Built to work together.

Inventory & Procurement uses the information already maintained in Elimu Bora, so your team isn't entering the same data twice.

  • User & Identity

Students, teachers and staff, each with their roles.

Inventory & Procurement needs it for: who can request, approve and receive stock, and who items are issued to.

  • Financial Management

Fees and payments for the school.

Inventory & Procurement needs it for: supplier payments are tracked here, apart from the fees guardians pay.

  • Activity Log

Who changed what, and when, across every module.

Inventory & Procurement needs it for: a full trail of every adjustment and approval.

Inventory & Procurement

Products, stock, suppliers, purchases and requisitions in one store.

Works alongside all three, so every item is accounted for and every decision is on record.

Inventory & Procurement FAQs

Questions, answered

What schools ask about Inventory & Procurement before they switch.

Anything the school stocks: stationery, kitchen food and equipment, cleaning supplies, medical supplies, library books, sports gear and more, each in its own unit, such as reams, boxes or kilograms.

Yes. Issue items from a student’s or staff member’s profile. The quantity comes off the stock count and the item shows on their assigned items, which guardians can see.

Each product has a reorder level. When stock drops to it, an alert is raised, both immediately and in a daily morning check. From the alert you can raise a requisition in one step.

School leadership, by default. Approval and rejection are recorded, and a rejected request goes back with a reason.

Use Adjust Stock with the counted quantity and a note. The difference is recorded as an adjustment with your name against it.
